Many years ago, the performance of xSuite solutions, then known as WMD xFlow, convinced us to choose a close partnership with one of the leading manufacturers of document management solutions.
For implementation projects, our project team usually consists of two to three consultants for the different subject areas. Depending on the project size, this may vary. On the customer side, the project team is usually much larger. In most cases, the departments of accounting and/or purchasing as well as the IT and SAP departments are involved.
Experience shows that the implementation of document management processes usually takes 3-6 months. For very large and extensive projects it can take up to one year to go-live.

At the beginning of each implementation project, we hold workshops in which we present the solution in detail and work with you to determine your specific requirements. Based on the insights gained, a concept document is created, which serves as the basis for our cooperation and the implementation of the project.
We equip your IT with all the information for the required technical infrastructure. This includes system requirements, hardware specifications, authorization guidelines and software components. Your IT must provide servers, scan workstations, scanners, system access, authorizations, databases, etc.
As soon as the infrastructure has been provided by your IT, we start implementing our solutions in your system landscape. We install and configure software components, carry out customising in SAP, develop any project-specific enhancements that may be necessary and set up the processes as specified in the concept.
Your project team or the key users of the new applications are trained by us on your own systems. This will enable them to carry out the subsequent tests adequately. The future internal administrators will receive their own technical training to be able to support and operate the systems in the future.
An integration test, i.e. whether all components work together and function properly, is carried out by our consultants together with your IT department. Your specialist department (accounting/purchasing/etc.) is then responsible for putting the solutions through their paces in specialist tests. We are available to you on site for selective test support. Test results promptly lead to an optimization of your systems.
As soon as all tests have been successfully completed and you have formally confirmed the functionality, we will put the new applications live on your productive systems. In the following days, we will be available to you for productive support. You will receive a detailed technical documentation of your systems from us. With the formal final acceptance, the project is transferred to regular support and we can celebrate a successful project completion.
New versions of the xSuite applications are regularly released by the manufacturer. We will be happy to advise you on the new features and help you decide whether an update makes sense for you.
We analyse your existing system to estimate the impact of new versions as well as the effort required to perform the update.
If you decide to carry out an update, we will be happy to carry out the necessary steps for you. The time and effort involved here is highly dependent on the version change you have made and the functions and components to be set up.
The last few years were marked by a large number of migration projects from xFlow Version 4.x to xSuite 5.x. This is not a simple update, but a major conversion of the entire system including the migration of legacy data. Version 5 works on a completely new technical basis, which also brings a new look and feel for all users. Migration projects can be compared with implementation projects in terms of their procedure and have a longer project duration than “normal” updates.
Meanwhile the majority of xSuite customers worldwide are already working on the new version. If you are one of the few remaining xFlow 4 users, we will be happy to support you in switching to the new future-proof xSuite world.
To do this, we will first carry out a detailed analysis of your existing system in order to make an estimate of the expected costs and determine the scope of the project with you.
Most SAP customers are planning a system change to S/4HANA for the next few years. Since the xSuite product range is also certified for SAP S/4HANA, it can be operated on the new SAP generation without any problems.
Existing xSuite customers planning or executing a change to S/4HANA are recommended to consult an xSuite consultant. Because with such a system change, some points must also be observed regarding xSuite or transformation work must be carried out.
How much effort is required for such a project depends mainly on whether you take a so-called “brownfield” (existing system is transformed to S/4HANA) or “greenfield” (new S/4HANA system is set up parallel to the existing system) approach to your S/4HANA implementation.

The electronic procurement system SAP Ariba can be used together with xSuite. For example, SAP Ariba can generate incoming invoices in your SAP ERP system, where they are checked, approved and posted via the xSuite Invoice Workflow.
